Getting Started
How much does pingg cost?
pingg’s email invitations and event management services are free. We charge for for the services we offer to enhance your invite - fees for unique invitation designs and invitation printing, for use of photos from our pingg Plus+ library, or for communicating with guests using SMS/text.
How do I register?
In the upper left hand corner of our main page, click on Register to be taken to our simple registration form.
Do I need an account to create a pingg invitation?
No, you don't need to register to create an invitation. In order to save your work, and to send the invitation you will need to create an account. You can create your account when you send your invite or Register on our home page at any time.
How do I log in to pingg?
In the upper right hand corner of our main page, type your email and password in the boxes provided, click Log In to access your account.
What if I have difficulty logging in?
Log in names and passwords are case sensitive - double check the email address and password you've entered.
What if I forget my password?
Click Log In on our main page upper right corner, and click Forgot Password? Type in your email address and instructions will be sent to you by email. Sometimes our password help emails will arrive in junk mail or spam folders, so be sure to check if you haven't received the email within a few minutes.
How do I start setting up my event?
To get started, click the "Create an invitation now! It's free" box on the pingg homepage (or click the "Create" box in the "my events tab"). You'll be taken to your new event page, where you can see your event planning checklist, the green Event Status box, as well as menu options for your first checklist item: Invite Design.
Event Status
What is the Event Status bar for?
The green Event Status bar on the bottom of the invitation creation screen will lead you through your event planning checklist. When a green check mark is displayed, you’ve set up that item. If a gray ‘x’ appears beside an item, you need to add some details before you can send your invitation.
How do I use the Preview button?
The Preview button allows you to see what your invite will look like when sent it via email, web, SMS/text and print. You can preview your invitation any time while you work on it.
How do I use the Send button?
When you're ready to send your invitation click the Send button, which is located in the event status bar. After you click send, you'll have the opportunity to review your guest list, and confirm the details before pingg sends out your invitations.
Your Account
How do I change my personal information, like my email address?
Click on the My Account tab, and then open the Personal Details menu. Enter and save your new email address.
How do I customize my Account URL?
Your Account URL is unique to your account – create it when you first register, or by choosing the My Account tab, and following instructions in the Account URL menu. Remember, your Account URL cannot be changed after it is set. Choose an account URL that reflects you, one you can use for all your events, for example, joem.pingg.com.
How do I change my password?
You can change your password by selecting the My Account tab, then choosing the Change Password menu.
How do I recover my password if I forget it?
From main page, click ‘log in’ in the upper right corner, then click "Forgot Password?" Type in your email address, and after answering a simple security question, password recovery instructions will be sent to you by email.
What are Search Filters? How do I use them?
When you design your invitation, pingg includes default search settings so you will not find explicit images. To include explicit images in your custom photo searches, choose the My Account tab, and select Search Filters to check a box and change your settings.
Why do you need my Print Address?
When pingg send printed invitations to your guests, your return address is printed on the cards. This may be different than your Billing Address.
What is my SMS Balance?
This is the number of credits that you have in your SMS account. If you do not use all of your credits at one time, they remain in your account for future use.
What does SMS Required mean?
If you use SMS/text to communicate with your guests, pingg provides an estimate of the number of SMS credits you’ll need in order to send all of your scheduled communications. This number is an estimate, and can change as the status of your event changes. For example, if you've scheduled a reminder to be sent to everyone who RSVPs YES to your event, the number of SMS credits required will very depending on how many people are coming.
How much do SMS credits cost?
SMS/text credits are $1.50 for a pack of 20.
What is my Transaction History?
This section contains your pingg invoices. If you’ve been billed for a pingg service, you can see details of the transaction, and print a copy of your receipt.
Invite design
What are pingg’s Invite Design options?
pingg’s pre-designed invitations are ready instantly. Or your can design your own invitation using an image from the pingg Plus+ photo library or one of your own – you choose image placement, background color, text alignment and color.
How do I create a basic email invitation?
Start with the pingg Gallery. Look through event types/themes in our Browse pull down menu, or use our Search box to find an image by keyword. Select an invite and you’re ready to go.
What is the pingg Gallery? How do I use it?
We’ve designed a library of stylish invitations for you to use right away, and we’ve sorted them by theme and event type. Click on the Browse drop down menu in the Invite Design section to start your search.
How do I create a customized invitation?
Design your own invitation by searching for an image in the pingg Plus+ photo library, by uploading your own image (jpeg photo or logo), or by uploading a PDF invitation you’ve already designed.
What is the pingg Designer Series? How do I use it?
Our Designer Series contains original art and photography for your invitations, by well known, as well as up and coming artists. In the pingg Gallery, use the Browse drop down menu to select a designer and see their work.
What is the pingg Plus+ design option?
pingg Plus+ gives you access to over 2 millions images. pingg Plus+ is our fee based photo library. Use the Search field to find custom images for your invite. Choose your photo and a Custom Layout box appears to help you size your image, organize the text details and select a background color.
How do I design an invitation using my own photos/images?
Select Own Photo/Logo in the Invite Design menu, choose the file you'd like to use and upload it. Once you've uploaded the file, you choose the placement of the image, the alignment and color of the text, and the background color.
How do I use the Custom Layout?
Once you upload your photo/logo, a Custom Layout box appears to help you customize your invite – to size your image, organize the text details and select a background color.
Can I change/re-size the images in the pingg Gallery?
pingg’s pre-designed invites are stylish and instantly usable, but the images are not customizable. You can easily customize your own images, or those you buy from the pingg Plus+ photo library.
Can I change my own PDF invitation using pingg’s design tools?
No - PDF files are completed files that can’t be modified.
Can I still use pingg’s event management tools if I use my own PDF invitation?
Yes. Add your Event Page URL to your PDF invitation, or, if your PDF has already been created, upload it, and when you send it to your guests using pingg, your Event Web Page URL will automatically appear with your invitation. Either way, your guests will have your Event Web Page URL, so they can easily RSVP. You can then use pingg to track all your RSVPs and to send follow up communications. pingg does not send print invitations based on your own PDF files, as print quality varies greatly depending on the original PDF.
Event Details
What if my event is longer than 24 hours?
If your event is longer than a day, enter your start time, and click End Date checkbox - another calendar will pop up, allowing you to add an end time on a different day.
Why do I have to choose a time zone when I design an invitation?
We need to know the time zone in which your event is taking place, so we can send your scheduled communications at the correct local time.
Can I add more than one host name to the invitation?
You can add multiple host names to your invitation. Text space is limited when sending SMS/text communications, so you may have to shorten multiple host information so it will fit.
How do I send out a Save the Date that does not require an RSVP?
Selecting the “Sending a Save the Date” option in the Event Details tab removed the RSVP request from your invitation. When you're ready to ask for RSVPs, simply uncheck the Save the Date option, and resend your invitation.
Guest List
Can I design an invitation without a Guest List?
If your event is open to the public, your pingg invitation has a Event Web Page, which you can use to invite people to your public event - you don’t need a guest list to do this. In this case, send your Event Web Page URL to friends via email or Facebook, so they can RSVP or see updated Event News. In your named Event tab, and the RSVP Options menu, check the Open/Public Event box, and save your changes.
How do I create a Guest List for my event?
Select your Event tab, and click the Guest List menu to enter guest information. From here, import guest information from your own sources, from your My Lists tab, or add individual guest information in the fields provided. Your Guest List is saved as you work, and the total number of guests appears on the Guest List menu label. Your Guest List will also appear in your My Lists tab, under the Upcoming Events label.
How do I add one or more email addresses to my Guest List?
In the Guest List menu or in the My Lists tab, you can add guest information by importing it from your own sources, dragging and dropping it from your My Lists tab, or by manually adding guest information in the fields provided.
How much contact information do I need for each guest on my Guest List?
Enter guest information relevant to your invite delivery method – for example, guests’ email addresses are needed to send email invitations, mobile numbers for SMS/text and mailing addresses for print invites.
Is there a specific way to enter mobile phone numbers into my pingg Guest List?
You can enter typical ten digit North American phone numbers, for example, 555-555-5555, with or without a 1 at the beginning. For global phone numbers, the full country code is needed, for example, 44 20 5555 555 for a UK number. For global mobile phone numbers be careful to enter the full number as it would be dialed internationally, without any leading zeros.
How do I make changes to guest or contact information on my Guest List?
While you are working on your invitation you can click on the field you wish to change, or on the Edit symbol that appears beside each name on your Guest List to change information on individual guest information cards. Once you've sent your invitation you will see an "Edit Guest List" button bellow your guest list. Click the "Edit Guest List" button to make changes
How do I add guests to my Guest List from my own/external sources?
In the Guest List tab, choose the Import button to import guest information from a File, an Online Account or a List of Email Addresses, and follow the prompts or choose from the Help Topics for step by step instructions on importing guest information.
Can I import my contacts from my online accounts to create my Guest List?
In the Guest List menu, click the Import button. The Import Contacts box appears to take you through the process. Choose your online account, type in your User Name and Password, and click Import to finish exporting guest contact information from your online accounts.
Can I import my contacts from Outlook to create my Guest List?
In the Guest List menu, click the Import button. The Import Contacts box appears to take you through the process. In the Help Topic list, select Outlook and follow the step by step instructions. Begin by opening Outlook on your computer, and choosing Import and Export in the Outlook File menu, then follow Outlook’s prompts to finish exporting your guest contact information.
Can I create my Guest List using lists/parts of lists that I created for previous pingg events?
From the Guest List menu, click the My Lists button to be taken to that tab, choose your Past Event, then drag and drop individual names from the Past Event guest list to the guests list you’re creating, which will appear in Upcoming Events.
Event Web Page
What is an Event Web Page?
Every invitation created has a dedicated Event Web Page, where guests can see your event invitation and details, RSVP, and see host-guest messages, gift registries and post-event communications, like photos.
What is the difference between my Event Page URL and my Account URL?
When you create your pingg invitation, you’ll need to create an Event Page URL for your web site, so guests can see invitation details and RSVP on the Internet. Registered users also have the option of creating a unique Account URL, typically their name, which becomes part of each Event Page URL, for every event they organize, for example http://joem.pingg.com/JoesBirthday.
How do I create my Event Web Page URL?
In your named Event tab, choose the Event Web Page menu, and click the Customize button. A box appears for you to create your customized Event Page URL, for example nicoleh.pingg.com/LynnsShower – typically based on your event name.
Can my Event Web Page be customized?
The Event Web Page menu gives you options to upload photos or add You Tube videos to your Event Web page, either before or after your event.
How do I collect contributions for my event from my guests?
From the Event Web Page menu check the "collect funds for your event" check box. You will then be prompted to provide details about your collection including your PayPal account information. Guests will be able to make contributions directly to your PayPal account by credit-card or from their own PayPal account when they RSVP. pingg does not charge any fee for this service. For more information on setting up a PayPal account please go to www.paypal.com.

How do I send an SMS/text invitations?
In your guest list you can choose to send SMS invitations to each guest by selecting the checkbox in the column marked SMS. If you don't have a mobile phone number entered for a guest, a window will open asking for this information. When you send your invitations, SMS's will be sent to each guest that you've selected.
How do I send a print invitation?
In your guest list you can choose to send printed postcards to each guest by selecting the checkbox in the column marked print. If you don't have a postal address entered for a guest, a window will open asking for this information. When you send your invitations, postcards will be printed and mailed to each guest that you've selected.
What will the print card my guests receive look like?
pingg printed invitations are 4x6 postcards on medium weight, glossy card stock. Your Invite Design appears on the front, with event details, including your Event Web Page URL on the back. The quality of your post card image depends on your original source file – the larger your photo/image, the better the photo reproduction will be.
Can pingg print and send my own PDF invitation?
At this time, pingg can only print and send invitations designed using pingg’s design templates and tools.
When will my invitations be sent?
Once you've clicked the send button, and confirmed the details, your invitations are send very quickly. Email and SMS invitations are usually send within seconds, and postcards are usually mailed within one day.
When my print invitations are sent to individual guests, how do I know who is RSVPing on my Event Page?
On each of your printed event invitations, pingg includes a unique RSVP code for each guest to RSVP with, so you can keep track of who will be at your event.
Can I send communications to my guests after my invitation has been sent?
In the Communications tab, choose from the Reminder, Message and Thank You buttons to write, schedule and send additional messages to your guests. These communications can be sent via email and/or SMS/text.
What is a Reminder? How do I send one?
A Reminder is a note you can write, schedule and automatically send to your guests before your event. In the Communications tab, click on the Reminder button, and follow prompts to choose a scheduled delivery time, select your guest recipient, write the text of your reminder and choose your delivery method – email or SMS/text.
What is a Message? How do I send one?
A Message is a note you can write and send to your guest immediately, at any time. In the Communications tab, click on the Message button, follow prompts to select your guest recipient, write the text of your message and choose your delivery method – email or SMS/text. Your message will be sent promptly.
What is a Thank You message? How do I send one?
A Thank You can be written and scheduled in advance of your event, then automatically sent to your guests when your event is finished. In the Communications tab, click on the Thank You button, and follow prompts to choose a scheduled delivery time, select your guest recipient, write the text of your thank you and choose your delivery method – email or SMS/text.
After adding new guests to my Guest List, can I send them my pingg invitation without resending it to all guests?
After you've sent your invitations, you will see a "Add Guests" button below your guest list. Click this button add guests to your list. You can add any number of guests to your list, and you can use this function as often as you need to. When you add guests to your list, invitations will be sent only to your new guests, not to your entire guest list.
RSVP Options
How can I control the amount of guest list and RSVP information my guests can see?
The Guest List and RSVP Details sections in your event tab give you the option to allow guests to view your yes RSVPs, to see your guest list and RSVPs or to prevent your guests from seeing
your guest list, guest responses or guest comments all together.
What is the RSVP Tracker?
This option allows you to keep up to date on guest RSVPs, by allowing you to choose the how frequently you’re notified about them.
What is a Limited Event?
For events with limited venue capacity, pingg’s Limited Event check box allows you to indicate and restrict the number of guests who can RSVP. Fill in your Venue Capacity, and RSVPs will be cut off when your limit is reached.
What is an Open/Public Event?
Click this check box to allow anyone to attend, without any restrictions. If you have a public event and do not choose this option, you will be asked to approve each RSVP individually before they are added to your guest list.
How do I share my event information on Facebook?
After you’ve created your pingg invitation, in your Event tab, click the Facebook button to share your event on Facebook. After you’ve logged into Facebook, you can post your invitation on your profile, including a link to your Event Web Page, or send it to individual guests.
Gift Registry
What is a Gift Registry?
pingg’s Gift Registry gives your guests gift suggestions for your event. Create a gift wish list with one of our retail partners, like Amazon, and add that list to your pingg invitation.
How do I add a Gift Registry to my pingg invitation?
In Your Event tab, choose the Gift Registry menu, and select a retail partner, like Amazon, from the drop down menu. Follow the link to set up your gift wish list with that retailer, using their web site. Once set up, in pingg’s Gift Registry menu, check the box to add the gift registry URL to your pingg invitation and your pingg Event Web Page.
How do I make changes to my Gift Registry?
To make changes to your existing gift wish list, you need to access it on the retail partner’s own web site. You can also access your Gift Registry through Your Event tab. Choose the pingg’s Gift Registry menu, and enter your email address and name, then click the Find Lists button.
Event Reporting
How does pingg’s Event Reporting work?
Pingg’s Event Reporting tab lets you see your event information at a glance, such as RSVP statistics, confirmed guest numbers, and a log of all the activity associated with your event.
How do I quickly change a guest’s RSVP status?
Change a guest’s RSVP status manually by clicking the guest’s name in the RSVP column next to the guest, then choosing from the options provided.
Are there options to organize and print my RSVP list?
Once you've sent your invitation, a Print & Export button will appear below your guest list. Use this feature to print a neat copy of your guest list, or download a .csv file that you can open in Excel or most other spreadsheet software on your desktop computer.
What if a yellow caution sign appears in the RSVP status line?
This indicates that your email or SMS/text to that guest has not been successfully delivered. You can can fix your bounces by clicking the "Fix Bounces" button that will appear below your guest list.
My Lists
How do I use the List Manager?
In Your Lists tab, use the List Manager to see the different guest lists you have created and stored – organized by group or by event. Easily drag and drop guest and contact information between guest lists and events.
How do I use the Address Book?
Your Address Book contains lists of guests and contact information you have named, for example, Joe’s Friends, and created by typing in individual names, cutting and pasting guest information from other sources, or by importing files.
How do I add guest names from My Event guest list to my pingg Address Book?
You don’t have to – when you add guest names and information in your event Guest List, it is automatically entered into your Address Book as well, organized under your event name.
How do I print a list in my Address Book?
Click the Print button at the top of your Group or Event guest list, and choose from Print This List or Print Selected. To select entries for printing, click on guest information to highlight them - hold Ctrl and Alt keys at the same time to select more than one guest.
In My Lists tab, how do I use the Tags that appear on each line in my guest lists?
Use the Tags to include title, company or other keyword information about your guests. Use the Search box at the top of the list to find guests using particular keywords.
How do I use Upcoming Events?
Choose Upcoming Events to see a guest list summary for individual upcoming events, to drag and drop information, edit information or check RSVP status.
How do I use Past Events?
Choose Past Events to see a guest list summary for individual past events, to drag and drop information, edit information or check RSVP status.
